2024 U.S. Open Long-Term Volunteer Administration Internship

About this role:

Under the direct supervision of the Assistant Manager, 2024 U.S. Open Championship, the Volunteer Administration Intern supports the planning, organization, and execution of the championship volunteer program along with other Championship Office functions. The Volunteer Administration Intern’s main objective will be to manage the day-to-day details and communications of the volunteer program and serve as a key onsite contact for all volunteers including volunteer leadership, marshal clubs, and supporting AGAs.

What you’ll do:

Responsible for the day-to-day management of the championship’s volunteer program. Duties to include the following:

  • Provide exemplary customer service for all volunteer inquiries to the championship inbox and phone number
  • Coordinate with appointed volunteer leadership (committee chairs) and Host Club on pre-championship and championship week planning including collaboration with other USGA departments
  • Learn and manage the online volunteer database to complete daily tasks
  • Collection of volunteer shift availability and subsequent scheduling of all volunteers in conjunction with volunteer leadership
  • Manage volunteer committee assignments of ~4,000 volunteers as needed
  • Work directly with marshal clubs and their leadership on championship week planning
  • Manage volunteer refund process by working closely with the USGA accounting team and volunteer database
  • Dissemination of volunteer apparel data to meet merchandising deadlines
  • Forecast and determine specific volunteer committee needs for the championship
  • Develop a pre, during, and post-championship week communications plan to be sent to all volunteers and volunteer leadership
  • Work with the credentialing system to import, approve and print all volunteer credentials
  • Develop and execute a volunteer credential distribution plan
  • Develop and implement a detailed volunteer training program
  • Coordinate with the Operations team on vendor and/or operational resource and equipment needs
  • Help lead volunteer program, support staff, and assigned interns during championship week
  Biography

Timely distribution of the volunteer survey, recognition and gifting, and necessary after-action reporting following the conclusion of the championship

  • Support the Assistant Managers, U.S. Open Championships by serving as a primary day-to-day contact for shorter-term Championship Office interns in conjunction with the volunteer program.
  • Support the Operations Office with providing accurate planning forecasts for vendor-associated needs (resources, materials, etc.) related to the volunteer program and other various Championship Office functions as tasked.

  • This role will be based at our new headquarters in Pinehurst, North Carolina.

What you bring:

  • Diplomatic personality and ability to lead and communicate well with a variety of people, both written and verbally.
  • Must be detail-oriented and have excellent writing, editing, and communication skills.
  • Comfortability speaking to both large and small groups of people, including presenting pertinent championship information to volunteers and other championship stakeholders.
  • Ability to create and manage local relationships with host club staff, local organizing committee(s), committee chairmen, local community officials, volunteers, and vendors.
  • Demonstrate ability to problem solve, think “outside the box”, able to anticipate and analyze issues and provide logical solutions in a fast-paced environment.
  • Ability to manage interns through delegating tasks, ensuring task completion, and providing an atmosphere for staff to learn and grow.
  • Able to travel and work long hours, including weekends and holidays, at a fast and efficient pace.
  • Bachelor’s Degree in Sports, Business Management, Communications, or related field preferred.
  • Proficient computer skills with a working knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) required.
